Studio Operations & Administration

  • Maintain the studio calendar — schedule client meetings, vendor calls, and internal reviews.

  • Respond to and organize email correspondence, handle inquiries, and manage trade accounts.

  • Keep the Google Drive and digital assets organized and up to date for easy team access.

  • Support project setup, including proposals, contracts, and invoicing coordination.

Procurement & Project Support

  • Oversee procurement from order to installation, including vendor coordination, quoting, purchasing, tracking, and deliveries.

  • Maintain and update vendor and trade accounts, ensuring pricing, terms, and contact information remain current.

  • Work closely with designers to manage FF&E (furniture, fixtures, and equipment) schedules, order logs, and budgets.

  • Track and manage sample requests and returns, ensuring materials are organized and accessible.

Requirements

  • Exceptional organizational and time-management skills

  • Strong written and verbal communication

  • Proficiency in Google Workspace (Docs, Sheets, Drive)

  • Experience managing administrative systems or procurement workflows

  • Ability to multitask and prioritize in a fast-paced creative environment

  • Comfortable working independently and collaboratively with a small team

Preferred Skills

  • Prior experience working in an administrative role

  • Experience with procurement platforms, trade accounts, or design vendor portals

  • A good eye for design and aesthetics

Compensation

  • Competitive hourly rate based on experience; beginning at $25/hr
